Privacy Policy

This policy explains what information Prism Nexus handles, why it is used, and the choices available to you.

Last updated: September 27, 2026

Privacy in plain language

Prism Nexus processes only the information reasonably needed to operate accounts, provide requested tools, maintain security, and improve reliability.

This policy applies to the Prism Nexus website, accounts, document tools, communications, and related services. It does not control independent websites linked from the platform.

1

Information we collect

  • Account information such as name, email address, verification status, authentication records, and preferences.
  • Documents, text, CV details, images, and instructions you choose to submit.
  • Job results, corrections, reports, certificates, feature settings, and usage-limit records.
  • Contact messages and support correspondence.
  • Technical information such as IP address, browser, device, timestamps, pages used, diagnostic logs, and security events.
  • Payment, plan, and transaction references when paid services are enabled. Full card details are handled by the payment provider rather than Prism Nexus.
2

How we use information

  • Authenticate users and administer accounts.
  • Extract, analyze, convert, correct, and return submitted documents.
  • Generate reports, downloads, certificates, and account history.
  • Apply free-use, page, subscription, or transaction limits.
  • Provide support and service communications.
  • Prevent fraud, abuse, unauthorized access, and technical failures.
  • Measure and improve service reliability, accessibility, and performance.
  • Meet legal obligations and enforce our terms.
3

Document processing

Uploaded files are received for the tool you select. Text, document structure, job status, corrections, and results may be stored to complete processing, support downloads, and display account history.

Core proofreading and AI-writing analysis are designed to use self-hosted services. Citation and similarity features may send derived search queries, titles, references, or limited passages to scholarly indexes or source-retrieval services. We do not claim that every processing step remains on your device.

Do not upload confidential, classified, health, financial, privileged, or third-party personal information unless you are authorized and the service is appropriate for that material.

4

Purposes and legal bases

Where applicable law requires a legal basis, processing may rely on performance of a contract or requested service, legitimate interests in operating and securing the platform, compliance with law, or consent for optional activities. You may withdraw consent where consent is the applicable basis, without affecting earlier lawful processing.

5

When information is shared

We may share information with service providers that support hosting, databases, authentication, email, payment processing, scholarly search, monitoring, file handling, and customer support. Providers should receive only the information reasonably necessary for their function.

Information may also be disclosed when required by law, to protect users or the platform, in connection with a business reorganization, or with your direction or consent. Prism Nexus does not sell uploaded documents as a product.

6

Retention and deletion

Information is retained only while reasonably needed for the purposes described here, including active account services, processing history, security, dispute resolution, backups, and legal obligations. Different categories may have different retention periods.

You may request deletion of your account or eligible personal information through the Contact page. Some records may be retained where required for security, fraud prevention, transactions, legal claims, or compliance.

7

Cookies and local storage

Prism Nexus may use essential cookies and browser storage for authentication, session continuity, preferences, job recovery, and security. Optional analytics or similar technologies will be described or presented for choice where required.

Blocking essential storage may prevent sign-in, progress recovery, or other features from working correctly.

8

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, account verification, limited service permissions, and operational monitoring. No online system can guarantee absolute security.

Use a strong unique password, protect your session, maintain your own document backups, and notify us promptly about suspected unauthorized access.

9

International processing

Service providers and scholarly data sources may operate in different countries. Information may therefore be processed outside your residence. Where required, appropriate contractual or legal safeguards should be used for international transfers.

10

Your privacy choices and rights

Depending on applicable law, you may request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. You may also have the right to complain to the data-protection authority responsible for your location.

Submit a request through the Contact page using the email associated with your account. We may need to verify your identity and may limit a request where permitted or required by law.

11

Automated scores and decisions

Prism Nexus produces automated writing, similarity, citation, and quality indicators. These results are advisory and are not used by Prism Nexus to make legal, employment, credit, admissions, or similarly significant decisions about you.

12

Children

The service is not directed to children who cannot lawfully consent to online services in their location. A parent, guardian, school, or institution should supervise use where required. Contact us if you believe information was submitted by a child without appropriate authorization.

13

Policy changes and contact

We may update this policy when services, providers, laws, or practices change. The date above identifies the current version.

For privacy questions or requests, use the Prism Nexus Contact page. Please do not include passwords or sensitive document content in the message.
